Role Description

KNA is seeking to hire a Project Coordinator to assist with managing projects under the supervision of KPM & KWS Senior Project Managers. The ideal candidate will be responsible for managing day-to-day tasks for assigned projects and being a supportive point of contact between our firm and our clients with the Senior Project Managers’ supervision.

Responsibilities

  • The ability to draft a General Contractor RFP (Request for Proposal) based on work-letter information and overall Construction Document scope of work.
  • Develop specifications and orders based on the design package and other client requirements.
  • Coordinating with the General Contractors through the bid process to ensure Request for Information (RFI) responses are provided to all bidders, along with composing and drafting the overall RFI document to ensure an adequate response/solution.
  • Ability to review, remark, and bid level General Contractor’s proposals.
  • Create and manage a standard log, upload and distribute documents, and maintain the project schedule by completing responses in a timely manner.
  • Interfaces with General Contractor/subs as needed to properly represent the company and client’s budget, schedule, and efficiency.
  • Able to verify on-site conditions, review wall layouts, and troubleshoot solutions with the architectural team.
  • Maintaining a professional relationship with both the general contractor and the client.
  • Periodically, being able to lead a meeting while providing project-related updates and action items, including concluding the meeting by releasing a Meeting Minute review to the client, consultant, and project leads.
  • Develop specifications and orders based on the design package and other client requirements.
  • Take on a critical supporting role in managing the life cycle of a project after the sale has been completed.
  • Assist in overseeing the delivery and installation process and ensure that installation documents are prepared properly.
  • Coordinate billing and invoicing activity based on vendor contracts, pricing structures, and client budgets.
  • Attend client and project meetings as required.
  • A Bachelor’s in Business / Construction Management, Architecture, or Interior Design.
  • Strong interpersonal skills, having an understanding of resolving construction issues that arise while keeping in mind the client’s needs, budget, scope, and contract.
  • Experience in the installation of design projects on the job site and thinking on their feet.
  • Knowledge of Move Management, including Request for Proposal drafting and release, and how to assist and manage a Client Move, including overall plan, schedule, coordination, and management, with the ability to be an on-site support for the client during the duration of a project Move out / in.
  • Experience in creating purchase orders and proposals in Excel or Design Software.
  • Able to meet deadlines and pressure with ease.
  • Create design image packages and preliminary budgets as required.
  • Resolve punch list items.
  • Develop status and tracking reports as necessary.
  • Resolve pricing issues regarding chargebacks and costs.
  • Verify all CAD specifications for clarity and accuracy.

Qualifications

  • 2+ years of experience working at an Architecture or Interior Design firm.
  • Capable of reading construction drawings and drafting in AutoCAD.
  • Good understanding of commercial architecture and construction.
  • Strong communication skills, both written and oral.
  • Excellent time management and organizational skills.
  • Comfortable working independently.
  • Knowledge in Low-Voltage, Audio Visual, Access Control, and overall IT / MDF build out.
  • Able to compose a Project Master Budget Excel log, tracked against actual project cost.
  • Comfortable developing finish and furniture palettes and presenting to clients in person.
  • Capable of putting together design presentations using PowerPoint and Adobe products.
